Athletes Unlimited is looking for an Administrative Assistant to support the CEO. This position is full time, based in our midtown Manhattan office at least 4 days a week, will work closely with team members across the organization, and reports to the CEO.
Responsibilities
Executive Support
- Assist in organizing meetings and events, both external and internal, organizing, documents, meeting preparation materials, taking meeting notes, and ensuring follow-ups as assigned
- Manage the calendar of the CEO, including booking and rescheduling meetings as needed
- Organize and track expenses and reimbursements
- Build high-quality visual and written presentation materials (PowerPoint, Google Slides, Canva, basic video editing)
- Support other cross collaborative projects (ex. corporate gifting) as needed
Office Duties
- Represent Athletes Unlimited for in-person meetings as a knowledgeable and welcoming first point of contact
- Coordinate with building management to ensure office runs smoothly, including receiving packages/mail and obtaining visitor passes
Event Coordination
- Plan and execute the logistics related to events and offsites: board meetings, and partner/client entertainment (e.g. scheduling, basic A/V, catering/food, presentation materials)
- Assist in the management of company event invitations and RSVPs
- Arrange travel and accommodations for CEO to ensure attendance at events is seamless and well organized
- 3-5 years of prior work experience
- Excellent written and verbal communication skills
- Effective time management, organizational, and problem-solving skills
- Effective use of digital tools and resources (not limited to project management software and tools)
- Comfort with numbers, expense tracking, budgeting (Google Sheets or Excel)
- Personable and solution-driven, with a strong eye for aesthetics (event planning) and ease working with colleagues, partners, and clients
- Ability to work on-site at our office in midtown New York 4 days per week (except when traveling for work)
- Willingness to travel to league locations flexibly as needed (approx. 1-2 times per season)
- Willingness to work flexible hours, including evenings and weekends when needed
- Legal authorization to work in the United States
This role is full-time, hybrid and is compensated at a range of $56,000-$65,000. While this is the intended range, the actual compensation may vary based on several factors including but not limited to qualifications, skills, and geographic location of the position. We anticipate the highest end of the range will be reserved for those who exceed the hiring committee’s expectations on all measures of the evaluation process.
