Event Manager
USA Gymnastics
Position Summary
The Event Manager will be an important member of the Events Team focusing on logistics, travel and housing around all the different types of participants for the national and international events hosted by USA Gymnastics.
Essential Duties
- Coordinate the hotel needs with our housing company, including defining hotel needs, managing room blocks and settling hotel bills.
- For ancillary events that take place at the hotel properties, work with the hotel to provide meeting room and manage the setups, F&B and AV needs.
- For ancilarry events that are at the venue, coordinate catering meeting spaces and manage VIP hospitality pre/post event parties.
- Arrange for air travel for event staff and other officials and guests.
- Manage communication to event staff and participants relating to event and travel logistics.
- Secure and manage ground transportation when required.
- Manage the registration and accreditation offices on site at events.
- Supervise event contractors that assist with registration, accreditation and other ancillary events.
- Manage the credentialing process with our current Credential Company. Ordering supplies, managing the credential approval process, and Distributing onsite while enforcing safety and response policy.
- Liaise with international federations on the logistics for the delegations that attend international competitions we host.
- Assist in developing bid documents and event contracts with cities, venues and local stakeholders for Premier events including but not limited to rfp drafting and distribution, city selection meetings and contract negotiations.
- Manage the volunteer process including determinging shift times, creating schedule and coordinating with the LOC to meet volunteer needs for the event.
- Handle reimbursement requests for all event staff, event contractors, volunteers, and judges.
- Manages the US Gymnastics Event Intern Program which includes creating the Program structure, interviewing and selecting candidates, training and educating interns.
- Traveling to Event Industry Conference and Eductaional Opportunites.
- Attending Pre Event Site Vists- Both exploratory for prospective new events and cities and operationaly for current event planning.

Manager and Supervisor Responsibilities
This position may manage interns.

Education and Qualification
- Bachelor’s degree is preferred
- Sports or travel logistics experience preferred
- At least three years of related experience required
- Ability to speak additional languages a plus

- Proficient PC skills: including Outlook, Word, Excel and PowerPoint.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to plan ahead, think pro-actively, prioritize work and meet deadlines.
- Ability to function well in a fast-paced and at times stressful environment.
- Ability to exercise discretion and confidentiality with handling personal information of event participants and other VIPs.

- Regular use of standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets, and fax machines.
- Prolonged periods sitting/standing at a desk working on a computer and looking at a computer screen.

- Specific vision abilities required by this job include close vision and ability to adjust focus.
- Ability to communicate effectively in person and over the telephone.
- The noise level in the work environment is usually quiet to moderate.
- Occasionally required to lift and/or move up to 10 pounds.
- Available to travel 5-15 days at a time, including weekends and holidays.
- Occasional weekend and after-hours work required.
