Job Description
The Customer Support & Administrative Coordinator is a regular full-time, hourly position reporting to the Office Administrator. This role provides frontline customer support and essential administrative coordination for clubs, directors, members, and regional operations within Southern California Southern Nevada (SCSN), with a strong focus on service, accuracy, responsiveness, and operational efficiency. The position requires excellent communication, organization, and problem-solving skills to support a high-quality member experience, effective season administration, and well-coordinated regional activities.

Summary of Duties and Responsibilities include but are not necessarily limited to:
Customer Support and Communication
- Provide timely, professional, and solutions-focused support to clubs, directors, members, and other constituents across the region, ensuring inquiries are addressed accurately and courteously.
- Monitor and respond to customer support emails, general inquiries, and routine service requests, escalating more complex issues to the appropriate staff member when needed.
- Draft, distribute, and maintain routine communications, updates, and announcements related to seasonal processes, deadlines, policies, and operational changes.
- Serve as a reliable point of contact for club leaders and regional stakeholders by helping communicate expectations, next steps, and available resources clearly and consistently.
Roster and Membership Administration
- Maintain and update team rosters on a regular basis, with particular attention to locked teams, roster accuracy, and applicable deadlines.
- Assist clubs and members with roster changes, player eligibility questions, and related administrative requirements in accordance with regional and USA Volleyball policies.
- Provide support for membership-related processes, including helping users identify the correct membership type, complete registration steps, resolve payment issues, and navigate the Membership Management System (MMS).
- Assist members and clubs with SafeSport training requirements, background screening processes, eligibility questions, and basic technical troubleshooting.
- Develop and maintain strong working knowledge of the Membership Management System in order to provide effective user support and promote accurate and efficient processing.
Forms and Data Management
- Create, distribute, collect, and maintain forms and related documents required for club compliance, season administration, and regional operations.
- Review submitted information for completeness, accuracy, and timeliness, and follow up with clubs or members as needed to resolve missing or inconsistent data.
- Maintain organized digital records and support data-entry processes to help ensure reliable reporting and smooth operational workflows.
Event and Operational Support
- Assist with seasonal and event-related operational tasks, including officials’ assignments, payment coordination, event scheduling, seeding support, and related administrative follow-through.
- Support the creation, setup, and maintenance of season events within the Event Management System (EMS), helping ensure event information is accurate and current.
- Participate in weekly staff meetings and contribute to ongoing operational planning, task coordination, and follow-up actions across the SCSN team.
- Provide general administrative and logistical support to help ensure regional events and seasonal activities are organized and executed effectively.
Finance and Administrative Support
- Assist with routine financial and administrative processes, including tracking event invoices, maintaining organized records, and supporting adherence to budget parameters and internal procedures.
- Prepare, organize, and maintain administrative documents, spreadsheets, and related records to support office operations and departmental needs.
- Support day-to-day office functions and other administrative assignments that contribute to efficient regional operations.
Website and Systems Support
- Maintain and organize website content by ensuring information is current, accurate, and accessible.
- Support ongoing updates to internal systems, databases, and shared resources to promote consistency, accessibility, and operational efficiency.
Club development and regional growth
- Support onboarding efforts for new clubs entering the SCSN region by helping communicate requirements, timelines, processes, and available resources.
- Assist with administrative and operational activities that support participation and program growth across boys, grass, sand, and adult volleyball offerings.
- Contribute to a positive service experience that strengthens club relationships and supports regional retention and growth efforts.
Additional responsibilities

Qualifications:
- Bachelors’ degree or equivalent work experience.
- Must demonstrate strong communication and customer service skills.
- Highly organized with attention to detail.
- Ability to manage multiple tasks and deadlines.
- Comfortable learning new systems and tools (e.g., MMS, EMS)
- Experience with Microsoft Office Suite
- Ability to prioritize competing tasks.
- Experience in sports administration or club operations preferred.
- Must be able to successfully pass a USAV background screening (prior to hire date).
- Must successfully complete Safe Sport training within two weeks of hire date. Training must be maintained throughout employment.
Salary: $24 - $26/hr commensurate with experience
